(a) When you register for an account on the site & when you log in: when you register for an account to use on this website, we collect personally identifiable information such as your first name, your last name, and your email address. We collect this information to enable you to log in on the website to view pages only accessible to members of TSEA Link such as 'events' and 'chats'. Furthermore, your name will get used to make attendance for events visible, but only when you explicitly provide your attendance for an event by clicking 'I'm going!' on the event page. You have the option to provide a profile picture on your profile, which could get used to make attendance for events visible.
(b) When you register as a member of TSEA Link: we collect personally identifiable information when you register as a member of TSEA Link, such as your first name, your last name, your date of birth, your address, your phone number, your email address, and your International Bank Account Number (IBAN). Furthermore, we may collect other non-personally identifiable information such as your study program, your membership status of the Tilburg University Sports Center, and your Sports Membership 'Klantnummer' - because of legal requirements. We collect your name and email address to enable you to log in on the website to view pages only accessible to members of TSEA Link, as described in section 1a of this privacy policy. We collect your address, your phone number, and your email address to be able to notify you of important information regarding your TSEA Link membership and to contact you after your registration. We collect your IBAN to be able to automatically bill our annual membership fee.
(c) When you use the official TSEA Link app for Android or iOS, a unique notification token might be collected and stored to enable Link to send relevant notifications to members.
2. How we share the information we collect
(a) Personally Identifiable Information: when provided, your Sports Membership 'Klantnummer' might be shared with the Federation of Student Sports Tilburg. They will use this information to examine the amount of TSEA Link Members who have a Sports Membership, which they can communicate back to the Board of TSEA Link.
(b) Our alumni association, Respawn, can request no information other than your Link sign-up date and Link sign-out date, requiring Respawn to first provide either your email-address or first and last name before Link can share the information.
(c) As TSEA Link is a member of the NBSE (Dutch Federation for Student Esports), the NBSE receives a list of all current members before their GMAs in order to determine the amount of votes our association will have during the GMA. This list includes names and addresses, which are mandatory according to Dutch law to be able to identify someone. Additionally, the list includes email addresses. The NBSE is obligated to have email addresses according to their statutes.
Other personal information will not be shared with anyone. The only people with access to this information are the current members of the TSEA Link Board. The only information that might be visible to other registered users on the service, are your name and your profile picture.
3. How you can access and control the information we collect
We respect your privacy rights and provide you with reasonable access to the personal information that you may have provided through your use of our services. If you wish to access or amend any personal information we hold about you, to request that we delete any information about you that we have obtained, or to update/correct any personal information, you may contact a member of the current TSEA Link Board by email. Contact information can be found on our Contact Page.
You may decline to share certain personal information with us, in which case we may not be able to provide to you some of the features and functionality of our service.
4. How we hold your information
We will retain your Personal Information for as long as needed or permitted in light of the purpose(s) for which it was obtained and consistent with applicable law. The criteria used to determine our retention periods include: The length of time we have an ongoing relationship with you and provide the services to you (for example, for as long as you have an account with us), or whether there is a legal obligation to which we are subject. In other words, as long as you are a member of TSEA Link or Respawn we may retain your information. Information of people without an active Link and/or Respawn membership will be retained no longer than 5 years. If you wish to have information we have obtained about you deleted before this term ends, see section 3.
We seek to use reasonable technical and organizational security measures to protect personal information within our organization. The password you provide to us when you register for an account on this website gets hashed - so that passwords cannot be seen by anyone with access to the database with that information. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure.
5. Changes to our Privacy Statement
As our service grows, so will our Privacy Policy. We will post changes to our Privacy Policy on this page. Your use of the Services following these changes means that you accept the revised Privacy Policy. Please check this page regularly to keep up-to-date.
